How do you know what productivity software is right for you and your business? Does brand matter? Is free okay? Can I buy the program or do I need a subscription? Here’s what you need to know:

What do you need?

This is the first question you have to answer. You need a comprehensive list of office software uses so that you know whether you should purchase a suite of programs as opposed to just a few individually. Business software can help you with: written composition (letters, notices, blog posts, contracts, etc.), data presentation and analysis, data recording, presentations, time management, personal organization, email, and more. As you note your needs, also create a wish list because you may start out looking for 1 or 2 programs and discover a suite really would be more beneficial. 

What do you have?

The hardware, operating system, and any online programs you already work with will dictate what you can and cannot use. The key to smooth technology integration is compatibility. To perform due diligence, first look at the compatibility information of the program you’re interested in purchasing. Be sure that it will run on your operating system ( a.k.a. OS), and if you’re hoping it will work in conjunction with, say, your database, look for that as well. When in doubt, contact the company for details because if you purchase software and find out it isn’t a perfect fit, the return process doesn’t go as smoothly as returning a shirt with the tags still attached, if it’s even possible at all.

Microsoft Office programs are available for Microsoft (a.k.a. Windows) and Apple (a.k.a. Mac) operating systems. Microsoft makes it easy to purchase a suite of programs by subscription for a decent price, but you can still purchase the Office Softwareprograms outright, and if you dig deep enough, you can buy each program separately. The basic programs included in each package are Word, Excel, PowerPoint and OneNote. You can also get Outlook, Publisher, Access, Skype, and OneDrive, but not all of these are Mac compatible. 

Apache OpenOffice is well-known and popular free productivity software programming. Its programs fills the same needs as Microsoft Office with Writer, Calc, and Impress standing in for your word processing, spreadsheet populating, and presentation needs respectively, as well as Draw for visual creations, and Base for database management. If you’re looking to move your marketing design in-house, the industry standard software tends to be Adobe’s suite of programs, including InDesign, Illustrator, and Photoshop.
